Below you will find all the information on abstract submissions and guidelines for presenters of accepted abstracts and templates for all EASL meetings (except ILC).

Types of presentations

All accepted abstracts submitted in this format (abstract/late-breaker abstract) will be either presented as:

  1. An oral presentation or
  2. An ePoster presentation (which upon selection can also be included as an oral ePoster session)

Abstract submission fees

Abstract submission for all EASL meetings (except for ILC) is free of charge.

Abstract changes

  • All changes can be made by the abstract submitter until the abstract submission deadline of the respective meeting.
  • After the abstract submission deadline only the presenting author can be changed until 3 weeks prior the event start date

Abstract withdrawals

  • After you submitted your abstract, requests for withdrawal of an abstract must be received in writing to abstracts@easloffice.eu latest until that abstract submission deadline of the given EASL meeting
  • No refund will be granted after the submission deadline of the given EASL meeting (ILC’s only)
  • Any withdrawal requested after the abstract submission deadline of the given EASL meeting will not be considered and the abstract will be published

Abstract disclosures (COI and off label products)

  • Conflict of interest: For each author, any relevant financial relationship with the provider of commercial products or services discussed in their educational presentation or that have directly supported the CME activity through an educational grant to the sponsoring organization(s).
  • Off label products: If the product, that is discussed in the abstract, is not labelled for the use under discussion or that the product is still investigational.

Note: The intent of disclosure is not to prevent a participant with financial or other relationships from making a presentation, but rather to provide participants with adequate information about the relationship(s).

Embargo policy

All abstracts will be available publicly on the corresponding meeting webpage, under the abstract section, 2 weeks prior to the event.

The information contained in the abstracts accepted for the given event will be under embargo until the release on the webpage two weeks prior to the event.

Please refer to the online scientific programme of the corresponding EASL meeting for exact details.

Note: Violation of this policy will be taken seriously. Individuals and/or sponsors who violate it may face sanctions relating to current and future abstract submissions, presentations and visibility at any EASL event. The EASL Governing Board is at liberty to ban attendance and/or retract data.

Copyrights

By submitting an abstract to an EASL event you agree with the following statement:

“I hereby assign all copyrights to the European Association for the Study of the Liver (EASL), for the abstract submitted to the EASL Summit conference on : “NAFLD” (government authors not electing to transfer, agree to assign an exclusive publishing and distribution license) and any supplemental tables, illustrations or other information submitted therewith that are intended for publication as part of the abstract in all forms and media (whether now known or hereafter developed), throughout the world, in all languages, for the full term of copyright, effective when, and if, the article is accepted for publication. This transfer includes the right to provide the abstract in electronic and online forms and systems.”

Copyrights related to abstract data made available on the website and in the printed material resides with the respective authors.

No reproduction, re-use or transcription for any commercial purpose or use of the content is permitted without the written permission of the authors. Permission for re-use must be obtained directly from the author.

Once your abstract has been accepted as an oral presentation, you will receive an email with instructions to record your presentation.

Using your own template is allowed as long as it follows the oral presentation format rules below.

Oral presentation format rules

  • MS-PowerPoint 2013 or earlier versions (*.ppt and *.pptx) is mandatory
  • Screen ration 16:9
  • Make sure your slides are in a single file only (no multiple PowerPoints files will be accepted).

Oral presentation conflict of interest disclosures

All presenters must disclose their conflict of interest in the second slide of their presentation.

About the oral presentation session

  • Personal laptops cannot be connected in the lecture hall.
  • You may send additional files at all times, make changes on files already sent, and download your files again from any computer you use.
  • Once onsite you may check, change or upload your presentation in the Speaker’s Ready Room at least 3 hours before the start of the session. Our staff, will take a final look at your material together with you and will help you to upload it.
  • For online meetings: a week before the event you will receive by email the instructions to connect the day of your presentation.

Speakers’ Ready Room

The Speakers’ Ready Room will be available every day throughout the event days for invited speakers and oral presenters.

Oral presentation young investigator bursary

  • For oral presentation young investigator bursary awardees:  you do not need to check in as we keep note if you presented in your designated plenary.
  • If you do not present your research, the young investigator bursary will be withdrawn.

After acceptance of your abstract as an ePoster presentation our poster provider Poster session Online will contact you by email providing you with a unique code to upload your ePoster in their system.

Using your own template is allowed as long as it follows the ePoster format rules below.

ePoster format rules

  • Microsoft Powerpoint (ppt) is the ideal format
  • The PDF format is also accepted
  • Landscape format is mandatory
  • Dimensions 140cm wide x 90cm
  • Font recommendations: Arial, Arial black, Calibri and regular text size no less than 28 for the body of the different sections

Tips:

  • To check that information displays correctly on the final version, zoom into 100% and check all images, pictures, and graphs. It is better to use high-quality images and graphs when creating your poster
  • Provide clear labels and headings for each section of your presentation to avoid confusion
  • Don’t stretch the images manually or quality will be lost once zoomed in

About the ePoster presentation session

  • All ePoster presenters will be attributed a specific timeslot for their Q&A presentation session.
  • ePoster presenters must attend their Q&A presentation session and standby their terminal to interact with delegates.
  • If you have been awarded a bursary, not standing by your poster will automatically decline you the bursary reception.
  • For online meetings: All ePosters will be available on demand during the congress. Poster presenters have the possibility to record a 5 min video explaining their poster. The video will be displayed along with the poster.

ePoster presentation young investigator bursary

If you have been awarded a young investigator bursary for your ePoster, it is mandatory to stand by your ePoster screen at your designated time of presentation so we can collect your signature to confirm and validate your bursary.
